Key Responsibilities

Administrative & Enrichment Center Management

  • Serve as the first point of contact for general inquiries via email and phone
  • Maintain a clean, safe, and welcoming office and enrichment center environment
  • Provide administrative support, including monthly financial data entry
  • Monitor and maintain office supplies, print materials, and equipment
  • Supervise and guide volunteers, interns, and self-advocates working in the office
  • Manage calendars, filing systems, and scheduling for shared spaces and meetings
  • Oversee the preparation and mailing of materials, including new parent welcome packets, annual calendars, merchandise orders, and outreach materials

Communications & Digital Tools

  • Draft, edit, and schedule engaging content for DSNetwork’s social media platforms
  • Create digital flyers, graphics, and announcements using Canva
  • Draft and send monthly e-newsletters and other communications 
  • Maintain and update DSNetwork’s website and events calendar (WordPress)
  • Manage and update records, including contacts, donations, volunteer hours, and registrations

Volunteer & Community Engagement

  • Recruit, train, and manage (and thank) volunteers for events and office support
  • Assist in building and nurturing relationships with local community partners
  • Represent DSNetwork at community fairs and outreach events as needed
  • Support community-building initiatives and new outreach efforts
  • Coordinate donor thank-you efforts with volunteers and self-advocates

Event Planning & Support

  • Assist in logistics and execution of fundraising events, programs, and community activities
  • Coordinate registration, event communication, and attendee follow-up
  • Manage event volunteers, vendor contracts, and sponsor benefits
  • Create event sign-up forms and participant communications
  • Provide on-site event support, including setup/breakdown and staffing
  • Track event data and assist with post-event reporting and thank-you communications

Qualifications

Qualifications & Skills

  • A bachelor’s degree in nonprofit management, communications, human services, or a related field is preferred
  • Minimum 1-2 years of experience in nonprofit operations, program support, event planning, or administration
  • Exceptional time management and organizational abilities
  • Excellent written and verbal communication skills
  • Self-starter with strong initiative, creativity, and attention to detail
  • Proficient in Google Workspace, Canva, and online databases (CRM experience preferred)
  • Knowledge of WordPress, email marketing (Mailchimp), and social media platforms
  • Comfortable working occasional evenings and weekends for events
  • Valid Arizona driver’s license and ability to drive the DSNetwork van as needed
  • Bilingual (Spanish-English) preferred but not required
  • Experience working with individuals with Down syndrome or intellectual and developmental disabilities is a plus
