About the Job

The Senior Grant Administrator is responsible for managing the operational aspects of the grantmaking process including executing grant agreements and payments to grantees, providing partner support through onboarding, training and user technical support in the grant management system and adoption application. This role is also responsible for adoption count reviews and investigations to ensure adoption counts are accurate.

Essential Duties and Responsibilities

Grant Administration

  • Review and process grant agreements including contracts, statement of terms, and master service agreements.
  • Submit, update, and process payments to grantees and partners.
  • Support Smart Simple System Administrator with grant application testing for new builds and enhancements on existing applications.

Partner Support

  • Onboard new partners by creating profiles and accounts in grant management system, provide training and concise instruction on policies and procedures, and setting up bank information.
  • Provide ongoing support to partners with updating banking information, technical support within the grant management system and contact management.
  • Responsible for adoption program (AME) administration for partners, including but not limited to setting up administrators, password resets and user technical support.

Compliance

  • Responsible for managing adoption and grant partners statuses to ensure compliance with grant administration policies including but not limited to validating IRS  501(c)(3) validation. , etc.).
  • Manage adoption count reviews and investigations and provide recommendations on corrective actions.
  • Administers additional compliance tasks such as audits, responding to vendor requests, and documenting all necessary updates.

Public Inbox Management

  • Responsible for managing public email inboxes from internal and external stakeholders, including animal welfare groups, grantees, and PetSmart store associates.

Record Management, Reconciliation, and Reporting

  • Maintain and provide continuous upkeep of internal databases to ensure accurate records.
  • Assist with reconciliation of grant administration database to the financial system.
  • Facilitate the system interface with PetSmart for adoption partner information.
  • Run routine reports for assigned area.
  • Perform other duties as assigned.

Travel Requirements

  • 1-5%

Qualifications

  • Must demonstrate business acumen.
  • Must possess excellent problem-solving, analytical, and critical thinking skills.
  • Must possess outstanding organizational skills, including attention to detail.
  • Must possess excellent customer service skills and demonstrate ability to build partnerships/relationships with internal and external partners, leveraging interpersonal skills to build trust.
  • Must be able to multi-task in a fast paced, dynamic environment.
  • Must demonstrate a high level of intellectual, professional, and interpersonal ability and flexibility.
  • Previous experience in grant administration preferred.
