ABOUT DC RANCH:
DC Ranch is an award-winning, 4,400-acre 501(c)(4) community located adjacent to the McDowell Sonoran Preserve in north Scottsdale, Arizona. The community is composed of 25 diverse neighborhoods within four distinct villages that interact with shared open spaces to create a sense of living with the land. The first home was completed in 1997, and there are currently 2,800 homes and approximately 7,000 residents on the Ranch. Home prices range from $1 million to more than $23 million. The business is managed utilizing 18 cost centers (neighborhoods), while overseeing 10 sub-associations.
DC Ranch is governed by three entities: DC Ranch Community Council, Ranch Association, and the Covenant Commission. All three entities work toward the same goal: to serve residents and create a community that is beautiful, functions well, and creates a deep sense of belonging.
OVERVIEW:
The Resident Services Coordinators serves as the primary point of contact for all resident service inquiries and requests. This role involves fostering positive relationships, providing exceptional customer service, and ensuring residents’ needs are addressed in a timely and effective manner.
POSITION RESPONSIBILITIES:
- Primary point of contact for on all resident service requests through the Community Services Department, including phone calls, e-mails, ‘Let Us Know’ portal messages, and in-person visits, coordinate to ensure timely and appropriate responses. Collaborate on maintaining a central Resident Services Dashboard to track service requests and monitor resolution timelines.
- Manage the ongoing Realtor Training Program, the purpose of which is to educate and keep the Realtor community informed, as well as any other pertinent information that impacts future residents and dissemination of correct information. This program will include bus tours, open house maps and signage. Facilitate Realtor online training, all gate access, tracking agent renewals.
- Oversee the Neighborhood Voting Member (NVM) Program, facilitating seamless communication between NVMs and the Ranch Office. Organize and conduct NVM orientation training and keep members informed of key DC Ranch Association updates and decisions. Serve as the primary point of contact for NVM-related matters to ensure effective community representation.
- Manage all Association elections – Board of Directors, Neighborhood Voting Member, etc. Engage third-party election vendors and oversee election process in line with governing documents.
- Work with Community Patrol to ensure compliance with the DC Ranch Open House signage policies and notify Scottsdale Code Enforcement of signages not approved for use or unregistered open houses.
- Provide back-up administrative support for the office front desk.
- Provide administrative support to the senior leadership team.
- Work with the Communications Graphics Department to develop and order brand standard signage for community programs, Ranch Association event signage, road and gate closures, maintenance and landscape projects, etc. Deploy to location as scheduled per event/program or activity.
- Administer all Collections and Fines for the Ranch Association. Coordinate and track fine activities related to overdue assessments; community standards violations; contractor fees; etc.
- Manage the speed camera program; ticketing, camera relocation, data tracking, maintenance, calibration, reporting and appeal processing.
- Preparation of documents for Sub-association work, request for proposals, maintaining databases, tracking information, and providing reports as requested.
- Maintain tenant registrations, tracking sheets, updating Caliber, conduct review and pursue lease expirations, courtesy notices, property owner follow-up, take immediate action if not updated, fine per the policy.
- Assist in organizing and facilitating Association Forums and Expos for residents, including Community Safety Forum.
- Enter and track Work Orders for residents and common area facilities issues
- Maintain services logs and serve as a liaison with various departments.
- Other duties as assigned.

POSITION REQUIREMENTS:
- Bachelor’s degree in business management and/or related field
- Property and/or community management knowledge is preferred
- Proficiency in Microsoft Office Suite
- Excellent communication capabilities both oral and written; able to conduct presentations
- Self-starter
- Ability to learn the Association’s basic operating software and data base systems, such as Caliber and ABDI
