one•n•ten is a nonprofit organization dedicated to serving and assisting lesbian, gay, bisexual, transgender, and questioning (LGBTQ) youth ages 14 to 24. From weekly discussion groups to fun, social networking events, we create a safe space, mentally and physically, for youth of all socio-economic and cultural backgrounds. We also offer resources to promote healthy choices and living. Youth with needs have the option to speak with peers or volunteers one-on-one, in a supervised setting. We provide youth with a variety of tools and opportunities to improve self-esteem and self-acceptance.

MISSION: To serve LGBTQ+ youth and young adults ages 11-24. We enhance their lives by providing empowering social and service programs that promote self-expression, self-acceptance, leadership development, and healthy life choices.

Job Summary & Essential Functions/Responsibilities/Duties

The Finance and Administrative Specialist provides direct support to the Director of Finance to ensure the financial health and stability of one•n•ten.

This position will enter financial transactions into accounting software, assist with creating the annual budget, preparing for the annual audit, and prepare revenue and expense reports.

This position will collaborate with the Executive Assistant to support the Board of Directors and complete general office duties.  

Key Areas of Responsibilities:

Organizational Responsibilities

  • With guidance from the Director of Finance, ensure compliance of general accounting processes by performing tasks for billing, check requests, expense reports, income reporting, reconciliations, financial reports, and other applicable financial transactions 
  • Prepare and maintain accounting documents and spreadsheets and record journal entries monthly and as requested. 
  • Provides administrative support for the Board of Directors.  
  • Prepares meeting space for board meetings.  
  • Maintains inventory, including but not limited to technology and office supplies and coordinates distribution of items for the organization.  

Financial & Organizational Responsibilities

  • Manage financial reporting for organizational expenses versus budgeted expenses  
  • Acts as backup for processing payroll in the payroll system 
  • Reconcile bank accounts and accounts receivable accounts monthly  
  • Assist in the preparation of financial statements monthly 
  • Assist with the preparation of annual audits and tax filings 
  • Maintain confidentiality regarding financial information, board, and committee meetings 
  • Coordinates mailing board-related postal/mail/misc. items.  

Fundraising & Donor Responsibilities

  • Track and report restricted funds 
  • Support grant reporting by providing necessary financial documentation  
  • Assist in the development of financial content for grant proposals 
  • Ensure compliance with relevant regulations and donor requirements

Schedule: Non-exempt full-time, as needed & required by the position, including occasional night/weekend work and special events. 

Physical Requirements/Demands: Standing, walking, repetitive motions, bending, stretching and able to lift 40lbs without issue.

Travel: Ability & willingness to drive your own reliable vehicle to travel to various locations (limited need for travel in this role, but for the occasional off-site event, it may be necessary). Mileage reimbursement is available.   

Background Check: Willingness to take and pass a background check and obtain a Federal Fingerprint Clearance Card

Qualifications

Position Qualifications

  • Strong computer skills required, including use of Microsoft Office 365, Teams, OneDrive   
  • Familiarity with Salesforce database systems a plus 
  • QuickBooks Online experience 
  • Good judgment, discretion, confidentiality, and boundaries   
  • Involvement and/or knowledge of the LGBTQ+ community &/or non-profit organizations preferred.
